This Privacy Policy explains what information Highlight Machine collects when you order a highlight reel, how we use it, who can see it and how long we keep it. If anything is unclear, email info@highlightmachine.com and we will explain.
1. Who we are
Highlight Machine is a service operated by SoFroNo Media, LLC (“Highlight Machine,” “we,” “us,” “our”), 26 Michigan St, Long Beach, NY 11561. You can reach us at info@highlightmachine.com.
2. What we collect
We collect only what we need to make and deliver your reel:
- Your details: your name, email address and phone number.
- Athlete details: the athlete’s name, graduation year and sport, and, if you choose to give them, position, school, city and state, club team, jersey number, email address and recruiting goals.
- Footage and photos: the game film, clips and photos you upload, links you paste to video stored on other services, and your notes on where the athlete appears. If you choose event film recorded by LI Sports Network, the event, team and jersey number you give us.
- What goes in the reel: any stats, achievements and contact details you ask us to show on screen.
- Your messages: revision requests, emails and contact form messages.
- Order records: what you ordered, the total, payment status, and the date and version of our Terms and this Privacy Policy you accepted.
- Payment: Stripe collects your card details on its own secure checkout page. We receive confirmation of payment, the amount and a Stripe reference number. We never see or store your full card number.
- Technical information: your IP address, which we use briefly to block spam and repeated failed attempts, and the standard server logs our web host keeps. With your permission, Google Analytics also receives limited public-page activity and anonymous purchase information (see section 7).
3. How we use it
- To make your reel: our editors use the athlete details, footage and notes to find the athlete, choose the plays and build the on-screen graphics.
- To run your order: we email you about your order, including confirmation, payment, when your cut is ready and when your final reel is ready to download.
- To take payment and to handle refunds and charge disputes.
- To keep the website secure and to stop spam and fraud.
- To diagnose website problems using our web host’s operational logs. With your permission, to understand public-page visits, reel-start clicks and confirmed purchases (see section 7).
- To show your reel as an anonymous sample, but only if you gave permission (see section 5).
We do not sell your personal information, and we do not share it for advertising.
4. Who can see it
- Our team and video editors. Editors can see only the orders assigned to them.
- Services that run the website for us. Stripe processes payments. Amazon Web Services stores files and sends our email. Kinsta hosts the website. Our email provider receives messages sent to info@highlightmachine.com. If you allow optional analytics, Google Analytics receives the limited information described in section 7. Plausible is disabled. Each receives only what it needs to provide its service.
- People you share the reel with. We do not send your reel to coaches or anyone else. You decide who sees it.
- When the law requires it. We may share information if required by law, to protect someone’s safety, or to protect our rights. If Highlight Machine is ever sold or merged, your information would pass to the new owner under this policy.
5. Samples
We show a finished reel as a sample on our website or social media only if you ticked the optional box when ordering or gave us permission in writing. If you leave it unticked, your reel stays private to your family.
Any sample we show is anonymous. We do not publish the athlete’s name, contact details or other identifying information. You can withdraw permission at any time by emailing us, and we will remove the reel from our website and stop using it in new posts.
6. How long we keep it
- Uploaded film and photos: deleted automatically 1 year after upload. After 30 days they move to archive storage, so a change requested after that can take up to 2 days to start while we restore the files.
- Review cuts and final reels: available on your order page for 30 days after we deliver your final reel, then deleted. Please download your reel and keep your own copy.
- Order records: kept as long as we need them for accounting, tax and legal purposes.
- Copies of the emails we send you: deleted after 30 days.
- IP addresses used to block spam: about 1 hour.
- Samples you allowed us to show: until you withdraw permission.
You can ask us to delete your information sooner at any time (see section 9). Stripe keeps its own payment records under its own privacy policy.
7. Cookies and browser storage
- If something on a form needs fixing, one cookie keeps what you typed for 30 minutes so you don’t have to start over.
- Our uploader saves progress in your browser so an interrupted upload can pick up where it left off. That record stays on your device.
- Staff and editors who sign in use standard WordPress sign-in cookies.
- Stripe sets its own cookies on its checkout page to prevent fraud.
- Optional Google Analytics cookies are set only after you choose Allow analytics. We remember your choice for 180 days. A first-party cookie temporarily carries consented analytics identifiers for 30 minutes so a purchase can be measured without tracking private pages.
Optional analytics. You can allow or decline Google Analytics and change your choice using Analytics choices in the footer of public pages. Declining does not affect ordering. Google receives consented public-page paths without query strings, general browser/device information and public reel-start clicks. After a Stripe-confirmed payment, our server may send the purchase amount in USD, a random transaction reference and the consented analytics identifiers captured when the order was placed. This purchase context expires after 24 hours; later payments are not reported. Google Analytics retains event-level data for 2 months. Google receives network information, such as your IP address, when your browser connects to its service. We do not enable Google Signals or advertising personalization. No browser analytics loads on the order form, private order pages, confirmation page or editor portal. Athlete names, contact details, footage, notes and private order links are excluded. Changing your choice stops future browser tracking; it does not remove information already sent or change consent recorded with an order you already submitted. Email us to request deletion. Plausible is disabled. Learn more in Google’s Privacy Policy.
8. Children and minors
Many athletes we work with are minors. The person placing an order must be at least 18 and must be the athlete’s parent or legal guardian, the athlete (if 18 or older), or someone the parent, guardian or adult athlete has authorized to order.
Parents and guardians may order reels for athletes of any age. For an athlete under 13, all information comes from the parent or guardian placing the order. We do not collect information directly from children under 13, and we ask you to give a parent’s email address instead of the athlete’s. If we learn that we collected information directly from a child under 13 without a parent’s involvement, we will delete it.
A parent or guardian can review, correct or delete their child’s information, or tell us to stop using it, by emailing us.
9. Your choices
Wherever you live, you can ask us to:
- Show you the information we hold about you or your athlete
- Correct anything that is wrong
- Delete your footage, photos, reels and order details. We keep only the records we must keep for accounting or legal reasons.
- Stop showing a sample
Email info@highlightmachine.com from the email address on your order. To protect your family, we confirm requests through that address before making changes.
10. Security
Your files are stored encrypted in private cloud storage and are never posted publicly. Your order page is reached through a private link we email to you, and each download uses a temporary link that expires within a few hours. Anyone with your order link can see the order, so please do not post or forward it. If it is shared by mistake, email us and we will reset it.
No system is perfect. If a security problem affects your information, we will notify you as the law requires.
11. Where your information is stored
We store and process your information in the United States.
12. Changes to this policy
We may update this policy. The date at the top of this page shows the latest version. If a change affects how we use information you have already given us, we will email families with open orders before it takes effect.
